Linking the Working Trial Balance (Desktop)

What it is: The process of assigning a link number to each account in the Working Trial Balance, which tells Draftworx which line on the Annual Financial Statements that account's balance should flow into.

What it's for

Every account on the Working Trial Balance must be linked before the Annual Financial Statements can be opened. The link number maps each account to the correct position in the financial statements — for example, a bank account might be linked to "Cash and Cash Equivalents" on the Statement of Financial Position. Draftworx provides both manual linking and an AI-assisted Smart Linking feature to speed up this process.

How to do it

Manual Linking (DX007)

1. On the Working Trial Balance, select Show / Hide Link Numbers to open the link number panel alongside the trial balance.
2. Select the account you want to link.
3. In the green filter bar on the link numbers screen, type a prefix or keyword to narrow the list (see prefix guide below).
4. Double-click the correct link to assign it to the selected account.
5. To link multiple accounts at once, select a range using SHIFT + click (for a range) or CTRL + click (for individual accounts), then double-click the link.
6. Alternatively, select the >> arrow next to any account row to link it inline, without opening the full link panel. Choose Select to apply to all years, or Current Only for just the current year.
7. Once linked, select Show / Hide Link Numbers again to close the panel.

Tip: Once an account is linked, the link cannot be removed — but it can always be reassigned to a different link number.

Smart Linking (DX015)

1. On the Working Trial Balance, select Smart Linking (Beta).
2. Confirm by selecting Yes.
3. Draftworx uses machine learning to suggest link numbers based on account names. A confidence summary (High, Medium, Low) is shown — review and correct any low-confidence assignments manually.
