Annual Financial Statements Basic Functionality (Cloud)

What it is: A collection of everyday actions for navigating, reading, and editing the Annual Financial Statements (AFS) once they are open in Draftworx Cloud.

What it's for

Once a client's financial data is linked, the AFS presents the full set of financial statements ready for review and printing. These basic features let you open the right document, control what rows and notes are visible, jump between sections quickly, enter manual data where Draftworx cannot derive it from the trial balance, and fine-tune the page layout before printing.

How to do it

Opening the Annual Financial Statements

  1. Open the client file and select Financial Data.
  2. Select the AFS name that ends in +Financials (the name reflects the chosen reporting framework, e.g. "IFRS+Financials").
  3. The AFS opens in a new browser tab.

Showing or Hiding Rows

  1. Each row in the AFS has a small bullet on the left — a black bullet means the row is active and will print; a grey bullet means the row is hidden and will not print.
  2. Click any bullet to toggle it on or off.
  3. Alternatively, go to the Design tab, select the row, and choose Show Row or Hide Row.
    • Note: on sheets like the Statement of Financial Position, bullets are locked by formula and can only be changed after unlocking (see Unlocking Cells to Edit).

Opening and Closing Notes Manually

  1. Notes in the AFS are organised with groupings — a (-) sign means the group is open (the note will print); a (+) sign means it is closed (the note is hidden).
  2. Click the (-) to collapse a note so it is hidden from print.
  3. Click the (+) to expand a note so it prints again.
  1. Blue underlined text anywhere in the AFS is a hyperlink.
  2. Clicking the word Note on the Statement of Financial Position jumps directly to that note section.
  3. Numbered hyperlinks on the Statement of Financial Position open the corresponding Lead Schedule in a new tab.

Blue Input Cells

  1. Dark blue cells throughout the AFS are input cells — you can type amounts or text directly into them without needing to unlock formulas.
  2. Some figures cannot be calculated automatically from the trial balance and must be entered here.
  3. Both numbers and descriptive wording can be entered in input cells.

Using the Drill-Down Feature

  1. Select any amount in the AFS.
  2. Choose Drill Down from the shortcuts menu (or right-click and select Drill Down).
  3. A panel shows all the underlying accounts that make up that figure.
  4. Select Export CSV to download the breakdown as a spreadsheet.
    • "Explicit Value" indicates a manually entered figure; "System Value" indicates a rounding amount.

Show Headings (column letters and row numbers)

  1. Go to the Design tab.
  2. Select Headings to toggle column letters and row numbers on or off — useful when you need to reference a specific cell location.

Freeze Panes

  1. Go to the Developer tab.
  2. Select the cell where you want to freeze.
  3. Select Freeze Panes to lock rows and columns above/left of that cell while you scroll.
  4. Select Unfreeze Panes to return to normal view.

Inserting a Manual Page Break

  1. While in Preview and noticing a large gap or a note that needs to start on a new page, return to the AFS editing view.
  2. Navigate to the row where you want the new page to start.
  3. Go to Print LayoutInsert Page Break. A lime-green line marks the break.
  4. Preview again to confirm the result.
  5. To remove: select the row with the page break → Print LayoutClear Page Break.
