Journals Basic Functionality (Cloud)

What it is: The full set of operations available on the Journal Entries screen in Draftworx Cloud — beyond creating individual journals — including importing, monthly dating, moving, copying, exporting, and pushing journals back to the client's accounting system.

What it's for

Once journals are being used actively across multiple tax years and engagements, you need more than just "create and save". This covers how to work efficiently with a journal register: bulk-import from Excel, assign journals to specific months, correct journals posted to the wrong year, export for review, and sync approved journals back to the accounting software without re-entering them.

How to do it

Go to Financial Data > Journal Entries.

Importing journals from Excel

Click Excel Import, then Select File. Map each Excel column to the corresponding Draftworx journal field (Adjustment Type, Description, Reference, Account, Amount), then click Import. The journals appear in the list exactly as laid out in the spreadsheet.

Monthly journals

By default, a journal affects the full year. To post a journal to a specific month (for monthly management accounts), click Monthly Journals before creating the entry. A Date column appears; use the calendar dropdown to select the month. Amounts flow into that specific month on the Working Trial Balance.

Deleting journals

Click Delete and choose from:

  • Clear Journals (All Years) — deletes all journals across every tax year.
  • Clear Journals (Selected Year) — deletes all journals for the current tax year only.
  • Delete Selected Entries — removes only the highlighted journals.
  • Clear Journal Entry Amounts — keeps the journal structure but zeros all amounts (useful for templates).
  • Clear Journal Export Statuses — removes the "posted" indicator from direct-exported journals.

Moving a journal to another tax year

If a journal was created in the wrong tax year, select it, click Move, and choose Following Tax Year or Prior Tax Year. The journal disappears from the current year and appears in the target year.

Copying a journal to another tax year

Select a journal, click Copy, and choose Following Year or Prior Tax Year. The journal remains in the original year and a copy is created in the destination year.

Exporting journals to Excel

Click Excel Export and choose All Journals or Selected Journals to download a spreadsheet of the journal register.

Direct export to accounting software

Approved Normal or Standing journals can be pushed directly back to Sage Business Cloud, Xero, or QuickBooks Online. Prerequisites: the journal must be balanced, have a reference, and be of Normal or Standing type. Select the journals, choose the accounting package, and click Export. An Export Status column confirms successful posting. Control accounts (retained income, VAT, bank, debtor/creditor control, inventory control) cannot be directly exported and will produce a warning.
