Unlocking Cells to Edit (Cloud)

What it is: A feature that allows authorised users to temporarily unlock formula-protected cells in the Annual Financial Statements so they can be manually edited.

What it's for

Most cells in the AFS are protected to prevent accidental changes to the underlying calculations. Occasionally an accountant needs to override a value — for example, to adjust wording in a note or change a row that is not driven by an input cell. Unlocking makes this possible without losing the protection on all other cells. Only Manager and Partner users can unlock cells; Clerks must request assistance from a manager, partner, or Draftworx Support.

How to do it

Identifying Locked vs Unlocked Cells

  • An unlocked cell shows a white background in the formula bar — it can be edited directly.
  • A locked cell shows a dark grey background in the formula bar — it cannot be edited until unlocked.

Unlocking Cells to Edit

  1. Navigate to the Design tab.
  2. Select Unlock Formulas. All locked cells on the current sheet become editable.
  3. When the Lock Formulas icon is visible in the toolbar, the sheet is in edit mode — there are no locked cells.
  4. Make the necessary changes.

Re-locking Cells After Editing

  1. In the Design tab, select Lock Formulas to re-apply protection.
  2. When the Unlock Formulas icon is visible again, the cells are locked and protected against unauthorised changes.
