Managing Client Engagements (Cloud)
What it is: The set of actions available on the Client List for organising, protecting, and maintaining client engagement files — including copying, archiving, deleting, restoring, renaming, and locking files.
What it's for
As a practice grows, the Client List needs to stay organised. These tools help keep the list manageable (by archiving old files), protect completed work from accidental changes (by locking files), and allow safe duplication or deletion of engagements.
How to do it
Copying a client engagement
Creating a Client Copy duplicates an existing engagement with all its data and customisations intact.
- On the Client List, select the Striped Menu Button next to the engagement you wish to copy.
- Select Copy Client.
- Enter a name for the new engagement and select Copy. The cost is deducted from your Prepaid Credits Balance.
Archiving a client engagement
Archiving removes a file from your main Client List without deleting it permanently.
- Either select the engagement and choose Archive, or select the Striped Menu Button and choose Archive Client.
- Select OK to confirm.
Deleting a client engagement
- Tick the checkbox next to the engagement and select Delete, or use the Striped Menu Button and select Delete Client.
- Select OK to confirm. If the engagement has not been used, a credit refund is applied automatically.
Restoring archived or deleted engagements
- Select the Gear Icon on the Client List, then select Manage Clients.
- Go to the Archived or Deleted tab depending on what you want to restore.
- Search for the engagement using the Client filter, then select Restore. Note: restoring a previously refunded deleted engagement will deduct credits again.
Renaming a client engagement
- Select the Striped Menu Button next to the engagement and select Rename Client.
- Enter the new name and select Rename.
Locking a client engagement
Locking prevents any user from making changes to the file. Only Partners and Managers can unlock it.
- Select the Striped Menu Button and select Lock Client, then confirm with Lock.
- To unlock, select the Striped Menu Button, select Unlock Client, then select Unlock.
Locking a client engagement as Read Only
Read Only lock allows users to view the file but not edit it.
- Select the Striped Menu Button, select Lock Client as Read Only, then confirm with Lock as Read Only.
- To unlock, select the Striped Menu Button, select Unlock Read Only Client, then select Unlock.
