Delete Options on the Working Trial Balance (Cloud)
What it is: A set of options on the Working Trial Balance for removing or resetting data at varying levels of scope — from a single account row to the entire multi-year trial balance.
What it's for
Sometimes an import went to the wrong year, a template needs to be cleared and re-imported, or links need to be reset without losing the underlying amounts. The delete options let you do any of these precisely without affecting data you want to keep.
How to do it
Accessing the options
On the Working Trial Balance, click the Delete button to reveal the list of options.
Clear Working Trial Balance (All Years)
Removes the entire trial balance — all account rows, amounts, and links — for all tax years. The engagement returns to a blank state as if just created. Use this when you need to start fresh with a completely new import.
Clear Working Trial Balance (Selected Year)
Same as above but only for the tax year currently selected in the tab bar. Prior years are unaffected.
Delete Selected Entries
Removes only the account rows you have highlighted. An account with a non-zero balance cannot be deleted until its balance has been cleared first.
Clear Link Numbers
Removes all link assignments from the trial balance while keeping the account rows and their balance amounts. Available for All Years or the Selected Year only. Useful when you need to re-link a trial balance from scratch after a chart-of-accounts change.
Zero All Balances
Sets all balance amounts to zero but keeps the account rows and their links in place. After choosing this option you confirm whether it applies to All Years or the Selected Year only. Useful when you want to retain the account structure and linking for a new period but replace the amounts with a fresh import.
Zero Monthly Balances
Sets the monthly (per-period) balance figures to zero while leaving the yearly balances, account rows, and links untouched. Useful when only the month-by-month breakdown needs to be cleared and re-imported, without disturbing the annual totals or the structure of the trial balance.
Remove Empty Accounts
Deletes all account rows that have nil balances across every tax year. Tidies up the trial balance after an import that brought in many zero-balance accounts.
