Linking the Working Trial Balance (Cloud)

What it is: The process of assigning each account on the Working Trial Balance to a specific location (link number) in the financial statement template, so that Draftworx knows where to place each balance in the financial statements.

What it's for

Linking is the bridge between raw account balances and a properly structured set of financial statements. Every account must be linked before the figures will flow into the correct line items, notes, and disclosures. Draftworx provides three methods — manual linking, Automatic Linking (rule-based), and Smart Linking (machine learning) — plus the option to link differently for a specific year without affecting other years.

How to do it

Manual linking

  1. On the Working Trial Balance, click Show/Hide Link Numbers to open the side-by-side view.
  2. Select the account row you want to link.
  3. In the orange filter bar on the Link Numbers panel, type a keyword or link prefix to find the right link. Useful prefixes: i (revenue), oi (other income), cos (cost of sales), e (expenses), t (taxation), q (equity), c (current asset/liability), n (non-current asset/liability).
  4. Double-click the link to assign it to the selected account. To link multiple accounts to the same link at once, select a range (Shift+click) or individual rows, then double-click.
  5. Click Show/Hide Link Numbers again to return to the normal view.

Alternatively, click the blue Link Account Shortcut Icon on any account row to open a pop-up, filter, and assign the link inline without entering the full link panel.

Automatic Linking (Standard Linking)

Click Standard Linking and confirm. Draftworx analyses account names and automatically assigns link numbers to matching accounts. Sort the Link column to bring unlinked accounts to the top and assign them manually.

Smart Linking (Beta)

Click Smart Linking (Beta) and confirm. Machine learning assesses both account names and balances to suggest links. A confidence score is shown per account and in an overall summary. A Smart Link Confidence column appears — sort ascending to review low-confidence and unlinked accounts first.

Current Only linking

To link an account differently in one specific year (without changing prior-year disclosures):

  1. Confirm the correct year tab is selected.
  2. Click the blue Link Account Icon on the row.
  3. Find the link, then click Current Only instead of Select.

The account will display a different link for the selected year while all other years retain the original link.
